Our Story

EnsembleVault started the same way a lot of great school tools do—out of frustration.

I’m a middle school drama teacher, and like many of us, I was trying to manage costumes, props, and equipment using a mix of spreadsheets, notebooks, and whatever system made sense at the time. It worked… until it didn’t. Things got lost. Items didn’t come back. And every show seemed to add another layer of chaos.

At some point, I got tired of tracking everything on spreadsheets and legal pads, so I started building a simple database for myself—just something to keep better records and make sense of what we had.

Then something interesting happened.

I added a few features so our local high school could use it too. After that, a colleague at another school wanted in. And before long, what started as a personal tool began growing—school by school, program by program.

Kind of like the pile of hoodies that somehow appears in every classroom over the course of a year… it just kept growing.

EnsembleVault is built from real classroom needs, by someone who deals with the same challenges every day. It’s designed to be simple, practical, and scalable—whether you’re running a single program or managing inventory across multiple sites.

What started as a way to keep track of costumes has evolved into a full system for managing uniforms, props, and equipment—so you can spend less time tracking things down and more time focusing on your students and your program.

Features

What’s in the product today

Inventory, loans, permissions, and program areas that ship in the live application—not a generic wish list.

Theatre / Drama inventory

Costumes, props, wigs, jewelry, equipment, and consumables—each with photos, locations, status, and repair flags. Tie items to productions and run internal check-out / check-in for cast and crew.

Music: instruments & repairs

Full instrument records (ID, family, condition, funding, checkout, lifecycle) plus a dedicated repair history so maintenance is auditable.

Music: uniforms & garment pieces

Uniform items with sizing, storage, condition, and assignment fields. Uniform sets group linked pieces (e.g. marching jacket + pants + accessories).

Music equipment & consumables

Same flexible item forms as theatre stock, kept in a separate music program inventory so band and choir supplies never mix with drama rows.

Licenses & site permissions

Each organization chooses Drama, Music, or both. Site managers grant users access to the modules your district actually licenses.

Inter-facility loans (both programs)

Theatre items and music assets can move between sites with request, approve, check-out, and check-in workflows—mirrored for drama loans and music loans.

Locations, sharing & reports

Hierarchical storage locations, peer-site sharing settings, district browse, customizable lists, and reporting across your licensed modules.

Theatre / Drama

Six inventory types + productions

Track costumes, props, wigs, jewelry, equipment, and theatre consumables with structured fields, photos, hierarchical locations, and production ties—then run check-out / check-in and inter-facility loans the way your sharing rules allow.

Music

Instruments, uniforms, stock

Dedicated instrument and uniform item records (including repair history and garment-oriented fields), plus music-program equipment and consumables kept separate from theatre inventory. Student-level music check-out and music loan queues match how programs operate day to day.

Bundle

One org, two programs

When you license both, administrators set Drama and Music access per user at the site level—so staff only navigate the modules that match their job and your district’s subscriptions.

Pricing

FAQ

Questions schools and districts ask most often

Do we need to purchase both modules?

No. License Theatre/Drama only, Music only, or both. Pricing tables show per-module and bundled options by number of site licenses.

How is pricing structured?

Pricing scales with how many school sites (facilities) you connect under your organization. You choose Drama, Music, or Both at each tier.

Who can use Music vs Drama in the app?

Your organization’s licenses control what’s available. Organization and site managers then assign each user access to the modules that apply to their role—so staff only see what they’re supposed to.

What if our district needs more than 100 sites?

Please contact us for higher site requirements. We can provide custom pricing for larger districts and organizations.
